Agreements, work orders and variations
Each subcontractor has a directory entry and a workspace with its agreements, work orders and variations. A work order carries the scope, the unit and the agreed rate — for example RCC slab reinforcement, shuttering and concrete for the first floor, labour and material, at a quantity rate — and the award quantity and value.
RA bills from measured quantities
An RA bill starts from the work order’s items. For each item the measurement table shows the previous quantity, the current quantity and the rate, and the bill works out the gross amount with GST at the rate you set.
- Quantities carry forward, so each bill knows what earlier bills already claimed.
- Mark the last bill on a work order as the final bill.
- Download each bill as a PDF and an Excel sheet.
Deductions shown before the net payable
The difference between the bill value and what you pay should never be a surprise. Each bill lists:
- Retention held back until the defects period ends.
- TDS deducted at source.
- Advance recovery for money paid ahead of work.
- Material debit for material you supplied that the subcontractor consumed.
- Other deductions, each with a note saying why.
Then the total deductions and the net payable.
Reviewed first, then paid
A submitted bill waits for approval by someone allowed to approve it. Payments are recorded afterwards, one or several, with the payment mode and reference, and the bill shows the remaining balance. Releasing retention is its own step, with its own amount and date.
Site progress next to the claim
Every work order compares the quantity reported in daily progress reports with the quantity measured, and shows the award balance for both. Work outside the agreed scope appears as an exception to review before the bill is certified.
