Construction accounting software with automatic journals

In Sampraxis, the entries your team already makes post their own double-entry journals: a GRN, a vendor bill, a petty cash voucher, a wage payment or an RA bill each updates the ledger when it is recorded. Project P&L, trial balance and balance sheet stay current without typing the same transactions into a second package. It is for contractors and PMCs who want site figures and books to agree.

Launching soon: part of Sampraxis Project Management, which opens to early-access firms first.

Entries that post themselves

Construction accounting goes wrong when site records and books are kept separately. In Sampraxis they are one:

What your team recordsWhat reaches the books
Vendor bill against a GRNMaterial cost, input GST and the vendor's payable
RA bill certifiedClient receivable, contract revenue and output GST
Petty cash voucherSite expense against the petty cash balance
Wages paidLabour cost for the project against cash or bank
Payment to a vendor or subcontractorPayable cleared, TDS recorded, bank reduced
Receipt from a clientReceivable cleared, retention and TDS held, bank increased

Construction accounting reports by project and for the firm

  • Project P&L and company P&L, trial balance and balance sheet
  • Work-in-progress (WIP) schedule and budget against actual
  • Receivables and payables ageing, so you know who owes what and for how long
  • Vendor ledger confirmations and an audit trail of changes

Petty cash and wages from site

Site cash is where most leakage hides. Petty cash vouchers and wage payments are entered at site on the phone, approved, and posted to the right project — no envelope of bills at month end.

Bank reconciliation, fixed assets and year-end

Reconcile bank statements with the books, keep machinery and equipment in a fixed-asset register with depreciation, lock past periods, and close the financial year with the GSTR-9 figures ready — see GST billing.

Corrections by reversal, never by overwriting

Money is never changed silently. A posted entry that turns out to be wrong is reversed and re-entered, and both steps stay on record with who made them. Your CA sees the same history you do.

Frequently asked questions

Do I need to know accounting to use it?

No. Site and office staff record what happened — material received, a bill, a payment, petty cash spent. Sampraxis writes the debit and credit entries behind it. Your accountant or CA reviews the ledgers and reports.

Can I see profit for each project?

Yes. Every entry is tagged to its project, so a project P&L is available alongside the company P&L, trial balance and balance sheet.

What if an entry was wrong?

A posted entry is not edited in place. It is reversed and entered again correctly, so the record of what happened stays intact for audit.

How are a PMC client’s funds kept apart?

On a PMC project the client’s money is recorded in a client fund ledger, and vendor bills paid on the client’s behalf sit in the client’s project book, not your firm’s.

Does it handle bank reconciliation and year-end?

Yes. Reconcile bank statements against the books, keep a fixed-asset register with depreciation, lock accounting periods and close the financial year.
